How to make a salary slip
- Add your company name, address and logo. They're remembered for next time.
- Add the employee's details. Everything except the name and designation is optional.
- Choose the month, the pay date and the number of paid days.
- Enter each earning and deduction. Rename, add or remove lines to match your payroll.
- Check the net pay, then press Download PDF.
What goes on a salary slip
Earnings usually include basic salary, house rent allowance (HRA), and other allowances such as special allowance or bonus. Deductions commonly include:
- Provident fund (PF): usually 12% of basic salary from the employee, with the employer contributing too.
- Professional tax: charged by some states, capped at ₹2,500 a year.
- ESI: for employees earning up to ₹21,000 a month, the employee pays 0.75% of wages.
- Income tax (TDS): deducted each month based on the employee's expected yearly tax.
Tips for employers
- Issue a payslip every month, even when pay doesn't change.
- Keep a copy of every payslip with your payroll records.
- Show leave without pay as paid days, so the numbers are easy to check.

- Does it calculate PF, tax or other deductions?
- No. You enter the amounts, so the payslip matches your payroll exactly. Deduction rules depend on the employee's salary, state and tax choices, so use the figures your payroll or accountant has worked out.
- What's the difference between gross and net pay?
- Gross pay is the total of all earnings before anything is taken off. Net pay, or take-home pay, is what's left after deductions like PF, professional tax and income tax.
- Is a salary slip the same as Form 16?
- No. A salary slip covers one month. Form 16 is the yearly certificate from the employer showing the salary paid and the tax deducted, which employees use to file their income tax return.
- Why do employees need salary slips?
- They're the usual proof of income for loans, credit cards, renting a home and visa applications, and new employers often ask for recent ones when you switch jobs.
- Is employee data stored anywhere?
