How to add your signature to Gmail
- Press Copy signature above.
- In Gmail on a computer, open Settings (the gear icon) and choose See all settings.
- On the General tab, scroll to Signature, choose Create new, give it a name and paste into the box.
- Pick it under Signature defaults, then scroll to the bottom and press Save changes.
How to add it to Outlook
New Outlook and Outlook on the web: open Settings, then Account, then Signatures. Add a new signature, paste, choose it as the default for new messages and replies, and save.
Classic Outlook for Windows: go to File, Options, Mail, then Signatures. Press New, name it, paste into the edit box, set your defaults and press OK.
How to add it to Apple Mail
Open Mail, then Settings (called Preferences on older Macs), and choose Signatures. Select your account, press + and paste. Untick Always match my default message font so your fonts and colours are kept.
What makes a good email signature
Keep it to three or four lines: your name, what you do, and the one or two ways you want people to reach you. Use a single image at most, skip inspirational quotes, and send yourself a test email to check it on your phone as well as your computer.

- Is it really free, with no branding?
- Yes. There's no sign-up, no paid tier and no "Made with" link added to your signature. What you see in the preview is exactly what you copy.
- Why isn't my photo or logo showing?
- Email apps can only show images that are already online, so paste a public link that opens the image itself. Links to LinkedIn profile photos stop working after a while, so use an image on your own website. Some email apps also hide images until the reader allows them.
- Why text links instead of social media icons?
- Icons are images, and many email apps block images by default, which leaves empty boxes in your signature. Text links always show, and they're easier to tap on a phone.
- Will my signature show on my phone?
- A signature you set up in Gmail or Outlook on a computer appears on emails you send from there. Phone apps usually have their own, simpler signature setting that only supports plain text.
- Is my information saved?
- Only in your browser on this device, so it's still here when you come back to make changes. Nothing is sent to our servers.
- Can I make matching signatures for my team?
- Yes. Keep the same layout, colour and font, change the name, title and contact details for each person, and copy each one.
